Your records and your data

Is my data safe if I hand it over?

We sign an NDA before any work starts. You keep the original records; we work on copies. You can end it with one month's notice and have everything back — and because the retention duty is yours by law, we never hold your only copy in the first place.

Who actually sees my documents?

The same person handles your account every month, which is why they learn your formats and your numbering and don't need re-briefing. Your paperwork isn't passed around a floor of temps.

Where do my files sit while you're working on them?

The people doing the work are in Hong Kong. Working copies sit in a cloud account we use for client work, covered by the same NDA as the work itself, and they are not handed to anyone outside the engagement. We won't pretend that is the same thing as saying your files never leave Hong Kong — cloud storage is hosted where the provider hosts it. If that distinction matters to your trade, ask before you send anything and we will tell you exactly what we use.

What happens to the copies when we're finished?

They're deleted 30 days after the work is delivered — and that applies to a free trial batch too. If a trial doesn't turn into anything, the documents you sent don't sit on our side indefinitely. You hold every original throughout, so nothing of yours ever depends on our copy.

What about my customers' personal data?

Your invoices and quotations carry other people's names and contact details, and under the Personal Data (Privacy) Ordinance that data stays yours — we only handle it to do the work you've asked for. We don't use it for anything else, we don't market to anyone in it, and we don't pass it on.

My records are a mess and the paperwork is incomplete.

That's normal, and it's exactly what the free trial batch is for — to see how messy before anyone quotes a price. Where documents are missing we send you a list and ask. We never guess a number to fill a gap.

If I leave, do I get everything back?

Yes, in the original formats — Excel and PDF, never locked inside a system of ours. Section 51C of the Inland Revenue Ordinance requires you to keep business records for seven years, and that duty stays yours throughout, which is why we set it up that way from day one.

What it costs

Is the monthly fee going to grow a tail of extras?

No. One fee, one agreed document volume. If your volume goes past it we tell you before we do the work and you decide — you will never find out from the invoice.

How we work

Are you accountants? Can you file my tax return?

No, and we won't pretend to be. We do clerical work and book entries. Audit, assurance reports and tax return filing require a practising certificate — that work isn't ours. Your existing accountant carries on exactly as before; we just hand them tidier source documents.

What if I need an answer immediately?

WhatsApp us and you'll get a reply within office hours. That is the reply-speed commitment; there is no separate document-turnaround promise. But plainly: we are not sitting in your office, so if the job is fetching something from the next room in the next five minutes, outsourcing doesn't solve that. Keep those tasks in-house.
